What to put on an event map
Work backwards from the moment guests arrive. Branch into venue, guests, programme, and the three things that would ruin the day. Under programme, list the fixed points (doors, speeches, food) with times, and leave the gaps as visible empty space so you can see how much room you actually have.
Keep a "day-of" branch for who does what on the day, with names, not roles. It is the branch you will actually read at 8am, and it should fit on one screen without scrolling.
Where event maps go wrong
Planning forwards from the invitations. The date and the venue constrain everything else, so they belong at the centre. The other common failure is no contingency branch — the events that go smoothly are not the ones with no problems, they are the ones where someone had already written down what to do about the two likely ones.
